Written Requirements

Your assignment should include all sections below. Quality is more important than quantity. 6 pages is recommended

1. Description of Your Organization (the owner/user of the Information System)

• Provide a detailed description of the industry and organization

• List your competitors or comparable partner organizations

• Describe the background about your organization: mission and activities, organizational culture

• This is to convince the supplier that you will be a good partner organization

• You can reuse your work from Assignment #1/2 if necessary

• A diagram, such as an organization chart or other block diagram, that illustrates how the organization works can be helpful in some cases, but is not necessary.

2. Problem Statement

• This is the motivation for why you are posting RFP and calling for proposals from vendors.

• You may have to be creative for the “reason” to replace the information management system or process – especially if the system is working fine as it is.

o Assume after you created your evaluation plan, you started the evaluation and testing with users. After the testing, the conclusion was that the system needs replacement

• A brief description of the existing system (including human information system components as well as the IT components) should be provided for context

3. Description of the Proposed System

• This should be in sufficient detail for the reader to understand the purpose and function of the proposed system

• What is in-scope as part of the system to be replaced, and what will remain intact • The technical environment should be explained as much as possible in an accessible way: hardware, software, platforms, or any other details you can learn about the tool

4. System Stakeholders

• Discuss who are the users and non-users who are affected by your information system, service, or process, and be clear what is their relationship to the information system?

5. Tender Process

• What is the release date for the RFP and deadline for submissions?

• How will proposals be evaluated? Describe criteria and weighting

6. Functional Requirements

• Create your requitements list. The requirements should be clear and concise.

• Make them general enough to not constrain the solution, but specific enough to let the vendor provide a good solution.

• Every requirement should be categorized as one of: critical/ important/nice to have/future • Include any relevant “non-functional” requirements, like look and feel, or other aspects

• Discuss all accessibility requirements

• Imagine that all, or a portion of the information management system you explained and evaluated in Assignment 2 needs replacement. Perhaps the license to the software is expiring, or the tool will no longer be supported by the vendor, or some other reason that necessitates a replacement.

• You are writing a requirements document as the user or owner of the information system you evaluated in Assignment 2 to send to potential vendors.

• You will need to communicate your needs as clearly as possible, so you get what you expect as the client.

• Portions of this may re-use content you’ve created in Assignment 2.
